TERMS AND CONDITIONS WEDDINGS AND FUNCTIONS
Bookings will only be confirmed on receipt of the signed completed booking forms with the relevant deposit within 14 days of the provisional booking.
Remaining payments on the total booking value, including accommodation, as follows:-
- 6 months 50% of total invoice due
- 3 months 75% of total invoice due
- 1 month the final and total balance is required with final numbers, seating plan and pre-orders.
If booking form is not received at 6 months prior to wedding date a further booking deposit is required.
Failing this the Hotel reserves the right to cancel the wedding without notification to the client any monies paid to date will not be refunded.
Due to high demand for Friday, Saturday and prime date weddings an evening buffet must be catered for if you intend to hire the room all day.
Only food and beverage purchased from the hotel may be consumed on the premises.
The Client is financially responsible to the Gables Hotel for any damages caused by the client or his/her guests or suppliers.
We welcome children to our Hotel, however due to strict health and safety requirements can you please ensure all children are supervised by a responsible adult at all times.
Dishes on your menu are principally prepared using fresh ingredients. In the unlikely event of any unforeseen shortage of ingredients at the time of your wedding, we reserve the right to substitute. We would of course contact you to discuss any required change of menu wherever possible.
Individual guest meal choices and seating plan must be submitted 28 days prior to your wedding. Failing to do this will incur a supplement.
We are happy to assist you with information on other suppliers i.e. florists, photographer etc. Please note that your contract for goods or services from an outside supplier is directly with that supplier. Whilst every care is taken recommending reliable outside suppliers, we cannot take responsibility for any lack of service on their part.
The Galloway Function Suite has a minimum requirement of 40 adult guests, should the numbers fall below 40 adults the room hire deposit will become the room hire charge with the remaining ￡400.00 going towards the wedding breakfast. We reserve the right to move your booking to another room and still retain these payments.
Guest numbers over 80 will need to use the Garden Room and Dovetail Suite (subject to availability) in addition to the Galloway Suite. Please enquire as soon as possible for confirmation of availability. To reserve these rooms we will require an additional deposit of £300.00. If guests numbers later fall to 80 or below only the Galloway Suite will be allocated for your use and we reserve the right to retain the £300.00 deposit.
In the event of any unforeseen or extreme circumstances or guest numbers changing, we reserve the right to change the function room chosen, or in serious circumstances rearrange your event (please see wedding insurance note). The hotel is not responsible for any other costs, expenses or damages incurred by the Client as a result of the changes.
Biodegradable confetti may be thrown in the gardens. However confetti may NOT be thrown within the Hotel. Foil confetti/bombs are not permitted. A cleaning charge of £150.00 will apply in the event of these items being used by guests.
Fireworks, Chinese lanterns and pyrotechnics are not permitted anywhere within the grounds or in the Gables Hotel.
Where one person books multiple rooms with a deposit, it is the responsibility of that person to pay all charges resulting from damage, unpaid room accounts, cancellation or a guest’s non-arrival.
Check in time is from 2pm. At check in, a credit or debit card will be required for pre-authorisation. We reserve the right to take payment from this card in the event of non-payment of the account or for any loss or damages to the Hotel. There are a limited number of rooms available for early check in at 12 noon at an additional cost of £25.00 per room. Pre-booking is required
Check out time is 10am - late check-out will result in additional charges.
On check out, you must produce your key card at reception and settle all outstanding invoices.
The Hotel reserves the right to charge full room tariff for the time period of any room being decommissioned should we not be able to re-sell the room due to any of the following:-
• Smoking in a room (the interior of the Hotel is all non-smoking). • Breakages rendering the room incomplete to re-sell to another guest.
• Specialist room cleaning including carpet shampooing required. • Anything that makes the room unsuitable for use.
All prices shown within this folder are valid for 6 weeks period from the date of issue. If your wedding reception or arrival date is taking place more than 6 weeks after your reservation please note the prices may change due to fluctuations in the price of food/beverage supplies etc. If there are any amendments to the prices we will inform you of these 6 weeks prior to your reception or arrival date.
In the unlikely event that a final price difference is unacceptable we will offer you the opportunity to revise your menu in line with your budget.
We regret that all monies pre-paid are non-refundable and non-transferable.
All cancellations must be received in writing. If you do not receive confirmation of your cancellation within 7 days of cancelling please contact the Hotel.
We strongly advise you to take out your own wedding and travel insurance to cover against cancellation or unforeseen circumstances.
The Gables Hotel will not be liable for failure to comply with any terms and conditions of this agreement to the extent such compliance is prevented, hindered or delayed by any cause beyond its control including but not limited to fire, storm, explosion, flood, force majeure,action of any Government or Government Agency, shortage of goods, strike or lock-out.
Guests staying on a Dinner, Bed & Breakfast package cannot use the allocation of an evening meal as a wedding or function meal.
Please ensure you collect all items i.e. cake, flowers, table decorations etc., and personal items from bedrooms as due to limited storage space, we can only keep items as follows:
Perishable items 5 Days, other items 28 Days, after these periods we will dispose of said items.
